Requesting a Key

Effective management of physical door security on Hampshire College campus is essential to support academic activities, research endeavors, and residential and campus operations. Hampshire College; Facilities and Grounds has the sole responsibility for the physical door security of each building and the associated key and lock program. 

Only departmental supervisors or division heads may request key(s). Approval will be granted based on the intended use, availability of resources, and compliance with campus policies. The Senior Director of Facilities and Grounds will determine best practices for key management and administration of building master keys.

To request a key, departmental supervisors should fill out the Key Request  form and return it to Facilities@hampshire.edu. A copy of this agreement will be retained by the Facilities and Grounds for record-keeping purposes.

If approved for a key, they can be picked up at 289 Bay Rd, Hadley, MA. 01035 between 10 a.m.-6 p.m. Alternatively, arrangements can be made to have the key dropped off by facilities and grounds staff. 

It is the responsibility of the recipient of any keys to be responsible for the proper care, maintenance, and safekeeping during the designated period of use.  Issued keys are not to be shared with anyone other than the person permitted for use. Lost keys or malfunctions must be reported immediately to Facilities and Grounds at Facilities@hampshire.edu.

At the end of employment or key need; keys must be returned to Facilities and Grounds. It is the responsibility of the requesting supervisor to ensure all keys are returned. 

Non-compliance with this policy may result in disciplinary action, including but not limited to suspension of borrowing privileges or financial penalties
